A tool that we have available in our shop management software is to record a voice message from the customer and attach it to a work order. Then the tech can play it back from any computer in the shop as often as needed. It is very difficult for a service writer to remember everything all the customers said and to writer it all down quickly. This tool helps especially for complex issues.

You can just click on and off a job to record your time. You can purchase the software with no monthly fees and us it for as long as you like. The reason for being in business is to be able to make enough money
to pay your employees, pay the overhead and make something for
yourself. If a customer is so difficult that is cost you money to
meet his or her requirements or maybe you just don’t have the
expertise to service the vehicle it is time to “fire the customer”.
One way to do that is to just raise the price so high that they go
elsewhere. Or you might just tell them you won’t do their work
anymore. It is a free country and you have just as much right to
refuse there business as they have to go to another repair shop. If
you have the right computer system in place, you can tell which jobs
are profitable and which are losers. Take in the profitable jobs and
pass on the ones you lose on. You will stay in business if you know
what you do best.

I have been selling and supporting shop management system for 19 years.
If you are serious about buying a commercial business system then don’t
buy a consumer printer unless you want to keep buying a new one every 6
months to a year. I have shops that print 2000-3000 pages a month and
they use HP LaserJet P4015n. This printer is rated up to 52 page/minute.
This support printing from 5 or more computers all day long. If you have
less printing and fewer users then go with the HP LaserJet 3015n. The
last one I sold lasted the high volume customer 4 years.
